Work order etiquette in the landscape world might be considered contradictory by some. What does the messy business of digging dirt and wrestling with thorns have to do with decorum and orderliness?
Fortunately, ArtisTree’s “A.R.T.” work order system (the ArtisTree Request Tracker) keeps everything neatly organized and documented. It’s a system that shines brightest when communication starts off on the right foot. Homeowners using the A.R.T. system are urged to read these handy tips.
First things first: Know your code! Almost all ArtisTree-maintained communities have a community code, typically supplied by their HOA’s property management company. Simply enter your code at https://artistree.com/work-orders/. This link is also accessible on our homepage at https://artistree.com/ (in the Maintenance Work Order section of the Contact Us drop-down).
Use the correct code.
Believe it or not, homeowners will enter the wrong code and then wonder why they haven’t heard from their ArtisTree account manager. Using your correct code is key to everything. Even though our managers will forward your incorrect submission to the right individual, the fulfillment of your request may be delayed.
Help us help you: Be specific.
Please describe your issue in a specific way. “Malfunctioning irrigation heads in east side yard” is much better than “Irrigation not working.”
Don’t submit your request multiple times.
Don’t submit the same request multiple times within a short time frame. You will receive an automated response saying your ticket has been opened and is being scheduled for service. You will receive another automated email when the job has been closed. Submitting your same request repeatedly will generate multiple and unnecessary work order numbers.
Write it down.
Write down your work order number. Have it on hand should you wish to contact our office or get back in touch with your account manager. This will help us better address your concerns.
Don’t submit in the wrong section.
Don’t submit work orders in the Landscape Design section of the Contact Us drop-down. This section is for landscape design requests only. Maintenance and irrigation requests will not be responded to.
